Processing your personal information
If you choose to give us personal information, such as your name, contact details and date of birth (for example to process an application for membership) then this will be held and processed by WLTC in accordance with the General Data Protection Regulation which takes effect from 25 May 2018.
Use of your personal information
WLTC may use your personal information for the following purposes:
- To support the running of the Club, e.g. to allow Club officials to contact the membership with details about the club’s activities; to allow club members to contact other members who have expressed an interest in the club’s activities, e.g. club internal/external competitions, coaching, social events, any other related activities; perform the services you have requested (such as providing you with the benefits of membership or providing you with information you have asked for) which may involve contacting you by phone, post or email.
- To make parts of the WLTC website easier for you to use by not making you enter your personal information more than once.
- For reasonable purposes of the WLTC, acting always within the General Data Protection Regulation.
- To market to you WLTC and third party products and services. Any marketing will only come via WLTC. The club will never share your information with third parties nor allow third parties to market directly to you.
Sensitive personal information
Sometimes WLTC will collect and process so-called sensitive personal data relating to you, including:
Medical data
This may be collected if you are a junior to ensure that our coach is aware of any medical conditions such as allergies, existing injury(ies), that may help in prevention/management of an incident.
Injuries data
This may be collected by WLTC because of an accident on club premises as part of the details to complete the accident form used for the purpose of notification of the incident and its subsequent investigation to review if any remedial action is appropriate to prevent the incident from recurring.
Image Consent
On occasions throughout the year we take still photographs and video footage of club activities and events. These images are used for publicity purposes in the club newsletter, on the club website and on our social media platforms. No image of juniors will be published without first having the formal consent from their parent or guardian. Adult members may request that any image of themselves found on any club property be removed. This request should be made to any committee member and the appropriate image will be removed as soon as is practical.
Disclosure and Barring Service (DBS) Check
Those Club officials involved with children (under the age of 16) are subject to Safeguarding checks including undergoing a DBS check. The Club maintains a register of those adults that have undergone and passed DBS checks meeting the Safeguarding requirements.
Cookies
Information may be sent to your computer in the form of an Internet “cookie” to allow the WLTC servers to monitor your requirements. The cookie is stored on your computer. WLTC server may request that your computer returns a cookie to it. These return cookies do not contain any information supplied by you or any personally identifiable information about you.
Such measures are necessary to streamline your usage of the WLTC website. Your browser software should however enable you to block cookies if you wish to. However, if you do disable cookies for WLTC website then some functionality may be unavailable to you.
Consent
By submitting your personal information to us (typically when you join), you signify your consent to our using the information provided in the manner described above. If we amend our privacy policy, it will be published on the WLTC web site.
